The real obstacle isn’t the agent, it’s the ERP
When an Italian SME decides to put an AI agent on finance or operations, the technical question comes up immediately: “but does it integrate with TeamSystem?” (or Zucchetti, or Odoo).
Honest answer: it depends on what’s actually accessible on your installation, not on the product name. The same suite can have one module with documented APIs and another you can only touch through a nightly export. Anyone promising “native integration” without looking at your instance is selling smoke.
Here’s what we actually see when we connect an agent to an ERP: the patterns that hold up in production, and the mistakes that sink projects.
The three integration patterns that work
There is no such thing as “the integration.” There are three levels of access, and 80% of the project decisions come down to working out which one you’re in.
1. Official API or web service (the best case)
Some TeamSystem and Zucchetti modules, and Odoo by default, expose documented APIs or web services. The agent reads and writes in a controlled way, with authentication and granular permissions.
It’s the preferable pattern, but even here the rule is least privilege. The agent reads only what it needs and writes only where it must, never with an all-powerful user. And it writes through the ERP’s validations, not around them.
2. Structured export/import (the most common case in Italy)
Many real installations don’t expose useful APIs. They do expose scheduled exports (CSV, XML, fixed-width files) and equally structured import channels.
Here the agent works on the file, not the system: it takes the export, applies its rules, and produces a valid import ready for official loading. Less elegant, but robust and predictable — and it’s exactly how the accounting office already thinks.
3. Read-only database + custom layer (the defensive case)
When you can only read the ERP’s database, the agent treats it as a read-only source of truth and does all the work in a separate custom app or database. The output goes back to the user, who loads it with their own tools, or enters the ERP via import (pattern 2).

What to avoid (the mistakes that sink projects)
- Letting the agent write straight into accounting tables. You skip the ERP’s validations and risk corrupting data you later invoice or file taxes on. Always go through the official import channel.
- Promising integration before seeing the instance. “TeamSystem integrates” is an opinion until someone looks at your licence, your modules, your permissions. In the assessment we map what’s actually accessible, before estimating anything.
- Confusing “connected” with “automated.” Pulling a value out via API is 10% of the work. The other 90% is the business rules: which line items, which exceptions, when the agent decides on its own and when it hands off to a human.
- No baseline. Without measuring what a workflow costs today, you can’t say whether the agent improved it. It’s the same principle we apply to every sprint and describe in the guide to AI agents for companies.
- Audit log inside the ERP. The agent’s decisions belong in a separate immutable log: who/what triggered it, which rules, which output, whether there was an escalation. You need it for debugging and for compliance (GDPR art. 28 DPA, AI Act alignment).
Numeraria: the output lands in the existing systems
Numeraria is a multi-division payroll and accounting firm. Its management spent the first half of every month on quotes, assignments, hours and reconciliations across a patchwork of Excel and legacy tools.
The AI agents we built run the cycle end-to-end: they generate quotes from templates, track assignments, validate hours with precise line items (travel, remote, on-site), and produce the monthly billing-ready report. The key point for this article: the export to the existing accounting systems is part of the design. We didn’t ask them to switch tools — we made the output land where it was needed.

How to decide, concretely
- Map the real access to your installation: API, export, read-only. This determines the pattern, not the vendor’s marketing.
- Pick a single high-volume workflow with structured output (reconciliations, quotes, invoice extraction).
- Measure the baseline before writing code.
- Keep the ERP as the authority over the data and the agent as the orchestrator around it, with a separate audit log.
- Demand that the code is yours from day one: no lock-in, no perpetual subscriptions.
