Managing multi-country diplomatic events meant coordinating across separate systems for each government client, drafting verbal notes manually (formal documents with strict rules), and dealing with fragmented archiving.

Context

The client is a European company providing software tools for the management of international diplomatic events. Their end customers are institutional actors — ministries of foreign affairs, embassies, international organisations — that need to coordinate meetings, missions, and formal exchanges between states.

The Real Problem

Diplomacy operates under rules that off-the-shelf software simply doesn’t handle:

  • Verbal notes, formal documents exchanged between states, with precise syntax, headings, and ritual formulas. A misplaced comma can change the political meaning.
  • Restricted users — not everyone can see everything. Different access levels for consuls, ambassadors, staff, and counterparts.
  • Archive compliance — every document generated must be archived according to the sector’s document retention rules (years, format, metadata).
  • Per-client-state multi-tenancy — each government client must have its own isolated environment, with its own data, rules, and users.
  • Customer support tooling — the client’s team must be able to support each end-state without accessing cross-tenant data.

All of this is well beyond what a generic CRM or off-the-shelf SaaS can provide. A custom platform was the only answer.

What the AI Agent Did

  3. Restricted users with SSO + OTP — enterprise-grade authentication, granular access levels (read-only, edit, admin), mandatory 2FA on sensitive roles.
  4. Archive integration — every document produced is archived according to the client’s retention policies, with structured metadata for audit and future retrieval.
  5. Customer support tooling — the client’s team can support each end-state from a centralised console, without seeing data that isn’t theirs to see.

AI is a tool for acceleration, never a replacement for diplomatic judgement. The official reviews and signs; the agent handles the drafting.

Results

Scaling to multiple government clients without multiplying team hours: each new state is added as a tenant with no dedicated deployment required.

Responsiveness explicitly praised by the founder: in a sector — diplomacy — where timelines are often long and vendors slow, Soraia’s speed was called out as a genuine differentiator.
